Hybrid Events: a comprehensive guide on what we’ve learned

Technology is developing rapidly, and as virtual event planners, we are at the forefront of evolving our technology for authentic human connection. A big part of human connection for many communities involves convening face-to-face; but how can we kick in-person events up a notch?

By incorporating online aspects, of course! We all know these phenomena as hybrid events, and they’ve been hot off the presses since the pandemic-ridden world began to open back up again. 

“Hybrid” can mean different things; we define hybrid events as the blending of face-to-face (F2F) and virtual engagement, and since their boost in popularity we’ve been observing, experimenting, and ideating. 

Now, we have created a series introducing several different hybrid event design models to consider, including both newly invented concepts and familiar concepts with some Matchbox flavor added for high engagement. Content Hub

In this hybrid event design, the in-person portion is where content is delivered, while the online portion is where content is maintained. When your live event ends, how can you ensure that your community is taking and implementing value from what they learned? How about creating a visually appealing virtual space filled with varieties of resources (videos, slideshows, articles, case studies, you name it!) right at your community’s fingertips?

Pre-Event Preparation

Looking for unique ways to hype up an in-person event? In this hybrid event design, the online virtual sessions serve as an introduction to the in-person event. Great for introverts, Pre-Event Preparation breaks the ice and gives attendees that buzz you get when something really exciting is coming and you just can’t wait. Or, use this space for important orientation info for your in=person event: location instructions, guides, schedules, etc.

Post-Event Reunion

So your in-person event brought your community that warm, fuzzy feeling of coming together and building connections; but how can you keep that buzz going from the end of this event until the next one? Post-Event Reunions, of course! Hosting online gatherings is a convenient way of providing more varieties of engagement to your audience and expanding accessibility. Let’s get the band back together – no traveling necessary!
